Personal Assistant Paloga is Australia's only national transport, warehousing and logistics company dedicated to the floor covering industry. Our clients include manufacturers, importers, independent retailers and major retail chains throughout Australia. Paloga has dedicated warehouses across Australia, state of the art handling equipment, the latest information technology, a highly trained and customer focused staff. Paloga also owns and operates a national premium general freight distribution network trading under the Knagge Transport brand. The position of Personal Assistant reports directly to the National Sales & Marketing Manager, the position requires the flexibility to work some overtime. The succesful applicant will be able to perform the activities of the answering telephone enquiries, handle complaints, letter writing, data input and perform basic clerical work. Specificaly they will perform the following duties; Answer service calls accurately in adherance to company policies and procedures, with a professional and understanding demeanour To ensure that all phone calls are transferred to appropriate personnel as per instructions and or accurate messages recorded if required Document and appease the demands and requests of customer(s)and forward these demands to the National Sales & Marketing Manager Collect, distribute, open ambiguous incoming mail and record senders details on behahlf of the National Sales & Marketing Manager To organise conference calls and travel arrangemets including flights, car hire and accommodation for the National Marketing Manager. Coordinate the National Marketing Manager's schedule and makes tentative appointments on his behalf Assists with customer surveys and mail outs Coordinates and arranges meetings, prepares and distributes agendas, reports and minutes, prepares facilities and amenities if required records minutes Assists in photocopying, scanning and other associated and similiar tasks Propose changes to operational procedures, work systems and schedules based on feedback received from customers Obey company safety policies and systems of work Liase with Customer Service Team Manager and other department heads to ensure that customers requests and expectations are monitored The succesful candidate should have completed secondary education and will be required to work some overtime and some week ends. Suggest changes to working conditions and use of equipment, systems of work, to increase efficiency of department and or organisation Suggest solutions to problems when they arise In addition the applicant should have a basic understanding of word processing, spreadsheets, data base construction. While not essential a knowledge of freight link transport modules relating to inventory control and accounting software would be beneficial. Ideally the successful applicant will have completed secondary education and or have at least 5 years experience in similiar or related industries.
